A small business invoice needs to survive accounting: tax lines, sequential numbering, PO references. This template is prefilled with a realistic product-sale example — edit it and print.

Quick answer: A small business invoice shows sequential invoice numbers, tax ID, itemized products or services, tax per line or as a subtotal, and payment details — bank account or payment link.

Numbering that scales

Start with a year prefix (2026-001). Keep one sequence per legal entity, never reset mid-year, and never reuse a number — auditors and VAT checks look for gaps and duplicates.

Tax done right

If you charge sales tax or VAT, decide: per line (needed for mixed-rate baskets) or on the subtotal (fine when everything is one rate). The generator computes both — set the tax rate and check the totals block.

Getting paid faster

Put payment instructions on the invoice itself: account name, bank, reference = invoice number. Invoices with a clear payment reference get misallocated less and match payments faster.

Frequently Asked Questions

Can I use this instead of accounting software?
For simple billing, yes — keep a folder of PDFs and a running number. The moment you need VAT returns or inventory, move to real bookkeeping.
What if a client pays late?
Resend the same invoice marked 'Overdue — reminder 1' with the original number and date. Keep the number identical so it matches their records.
